The commercial arm of a well-known association event organiser which runs very successful outdoor events, seeks a Deputy Operations Manager to support the Operations Manager in the preparation and implementation of logistical and operational elements of the shows, primarily to deliver them to time, budget and quality standards. You will be supporting the planning and management of the show infrastructure, services and facilities. The shows are complex and extremely demanding, attracting more than half a million visitors per year.

Experience of event planning and delivery of large-scale outdoor events is essential, as is knowledge of project management and a health and safety qualification. Please note for six weeks of the year you will be working on site which will involve staying away from home for some of the period, and evening, weekend and bank holiday working.

Duties include:
  • Working closely with the Operations Manager to plan, implement and review all infrastructure, operational and logistical matters with regard to the planning, build-up, open and breakdown phases of the show, to meet the agreed, un-moveable deadlines.
  • Assisting in the competitive tendering process for contracts.
  • Managing complex contracts and selected budget lines, including, but not limited to: show signage, furniture, first aid, equipment hire, cabins, stewards, toilets and temporary staff.
  • Supervising selected contractors on site, reviewing performance, and managing ongoing relationships.
  • Assisting with the compilation of the show Exhibitor Manual, Show Health & Safety Guide, and other relevant accompanying operational documentation which is issued to all exhibitors, contractors and staff working at the show.
  • Generating site CAD plans for the show, in consultation with the Show Manager and Operations Manager. Plans include complex detail including but not limited to: infrastructure, services, internal marquee layouts, emergency evacuation routes, exhibitor stand details, car parking areas, land use analysis.
  • To provide administrative support to the Operations Manager: producing and formatting documents, reports and spreadsheets; dealing with day-to-day correspondence and phone calls; taking minutes at meetings; organising meetings, including venue and catering arrangements; producing visuals for presentations, design and construction purposes.
