An exciting opportunity has opened up to work within a vibrant UK based event and production company to facilitate the additional work-load of 2 mid to large scale site specific events. One of these events is based in Belfast in November/December 2017 with the other opening towards the end of December 2017 in Hong Kong.

We require an individual to oversee both projects and closely work with the in-house administration and production teams to deliver both projects to the high standards we achieve on our shows.


Duties & Responsibilities


Based in the UK, remote/home office working is OK, will need to attend meetings in Cheshire at head office as and when required.

·       Project manage the delivery of live events, site infrastructure & artistic program in association with existing staff.

·       Oversee and arrange all shipping, customs clearance, transportation, flights, accommodation, local transport for all staff and equipment

·       Oversee and arrange the procurement of local plant hire requirements

·       Oversee and arrange all transport & logistics both in the UK & in the destination countries.

·       Oversee and arrange the procurement of merchandise in liaison with existing staff.

·       Arrange and ensure the procurement of all necessary visas, work permits, licenses, customs documents for the entire project.

·       Ensure all licenses, permissions and permits are obtained by local promotors to ensure we are able to open.

·       Compile all relevant documents required to satisfy authorities in relation to their legal right to work.

·       Ensure all equipment is released from customs on-time.

·       Ensure all shipments arrive on-time.

·       Create project budgets for all departments reporting to the administration team all expenditure as requested. Monitor and update budgets as required.

·       Manage the budgets to ensure

·       Liaise with local authorities, sponsors & promoters to ensure all shipment documents are supplied to all relevant parties in a timely fashion.

·       Ensure a complete itemised packing list is provided to all parties detailing all equipment value.

·       Ensure packing lists are provided to show staff along with packing plans to ensure containers are correctly loaded for return journeys.

·       Produce event plans, method statements and risk assessments for the event and ensure compliance with local and international regulations. Produce all required drawings for local authorities.

·       Produce evacuation and emergency response plans in accordance to local regulations and liaise with show staff, local promoters and local authorities to ensure these are adequate and well trained.

·       Ensure all insurances are in place for all staff, equipment and any sub-hired or 3rd party equipment.

·       Ensure all equipment is safe, tested and all documentation is provided, collated and presented to relevant authorities as required.

·       Liaise with local authorities to ensure all local taxes are paid on-time and in full to satisfy all local rules and laws.

·       Build relationships with local dignitaries and ensure good relationships are held with local embassies & government institutions.

·       Liase with production’s technical and design team to ensure all equipment required for the show is sourced (either locally or in the UK and shipped)

·       As required get any hire or sales quotations for show related equipment.

Production Period

Based onsite during event builds until opening – dates (TBC) are roughly 27 /11/17 to 3/12/17 in Belfast and 12/12/17 to 23/12/17 in Hong Kong – all TBC.

·       Ensure any additional required items are sourced locally and purchased as and when required.

·       Liaise with own staff to ensure all banking facilities are set-up to receive funds.

·       Manage the installation of the event on-site to ensure the project runs to schedule and on-time

·       Ensure all accommodation & transportation is booked correctly and all cast & crew members are happy with their accommodation

·       Arrange Per Diems if required with local promoters and ensure payment to the cast and crew is made ontime

·       Create hand-over documents to the staff on-site to ensure all relevant information is passed onto the show managers before departure.

·       Ensure all return shipments are booked.

·       Ensure all local transportation for the return journey is booked.

Person Specification


Experience with international touring at a medium to large scale

Proven experience in managing international shipping & carnets

Proven experience of dealing with flight & accommodation bookings, visas, work permits and licensing documentation

Experience of writing RAMS, Event Plans & HSE documents for live events

Experience of writing evacuation & emergency response plans

Experience of technical drawing (site & production plans)

Experienced computer user able to use all industry & business standard software

Ability to form good working relationships with

Ability to work calmly under pressure

Ability to problem solve and ensure standards are not compromised in the process

Experience managing large teams of both touring and local crews

Ability to delegate to staff

Good written & verbal communication skills

Knowledge of entertainment technical systems

Driving Licence and passport valid to at least July 2018


Experience working on greenfield sites

Experience of working in Hong Kong

Experience of working in Belfast

Experience of delivering outdoor site events outside of the UK

IPAF or equivalent licences

Recognised electrical qualifications

Recognised event management qualifications

Previous experience dealing with British Embassies

Previous experience working in circus based performance

Previous experience working in stunt show environments

Ability to speak Cantonese, Mandarin, French, Spanish &/or Polish.

Practical knowledge of entertainment technical systems
