DesignScene is an international creative production agency with offices in London, New York and Los Angeles. We produce a broad range of creative projects directly with clients including Amazon, ITV, Molton Brown, Hulu, Snapchat, Oath, Conde Nast, Shutterstock, Advertising Week and MediaLink

Our focus is creativity with a practical head – we offer creative solutions for our clients that fit within budget and within brief and are always looking to push creative boundaries, try new products, processes and materials and create industry talking points

Projects include brand activations, exhibitions, launches, experiential, pop-ups, gala dinners and high-end private events in the UK, US and Europe

Our team is made up of a group of 20 hard working, insightful, creative and fun professionals ranging from 3D, graphic and video designers, producers and production managers. Our head office is in Farringdon, London with satellite offices in DUMBO, New York and Santa Monica

We are looking for a full-time, London based Senior Producer / Project Manager who can bring their experience and qualities to enhance our already talented team. They will need to work efficiently across multiple projects with both clients and team members spread across multiple time zones in Europe and the USA

You will be required to travel globally and should have at least 5 years of event industry experience. Strong time management, organisational skills and attention to detail are essential for this role

Typical projects include activations at WEF, CES, E3, MWC, SXSW, Upfronts/NewFronts, MIPCOM/TV, LIONS, Advertising Week and Dmexco so experience at these events and locations is a bonus.

What is the purpose of the job?

  • Generally assigned to the larger projects (UK and overseas) within the company to run as lead directing support from the rest of the project team
  • Assisting on projects which involve the full company (UK and overseas) taking on specific tasks within that project
  • The planning, execution, and closing of any project from initial brief to execution on site
  • Creative ownership of each project with support of wider project and design team
  • Responsibility for maintaining and development of client relationships
  • Managing the scope of the project through the triple constraints of cost, time, and quality
  • Full responsibility of costs associated to projects and timely invoicing of clients and payment of suppliers
  • Contracting and managing appropriate external suppliers
  • Maintaining the high project management standards of DesignScene and its impeccable reputation
  • Leadership of the more junior project team members (US and UK), assisting them with their projects and giving them direction when assisting on your projects

Job Activities – what do you have to do?

Creative

  • Possess creative insight and knowledge to collaborate on creative ideas and treatments with the studio team
  • Hold and manage team creative brainstorms managing deliverables on client brief as well as creative response
  • Able to produce written creative proposals to include written explanation of creative concept, event treatments and entertainment and catering options and appropriate mood boards
  • Creative briefing of suppliers and internal staff for visual and sample creative appropriate to the creative proposal
  • Ability to confidently and passionately face to face present creative proposals to clients

Planning

  • Liaise with relevant stakeholders to obtain project brief and agree best way forward
  • Communicate regularly with client to ensure they are up to date and fully engaged and aware of developments and project agreements using standard project management documentation such as critical paths and contact reports
  • Ensure regular team regroups to ensure focus is maintained on the project and the team are geared up to deliver scope of project with specific set timeframes
  • Brief and manage relevant vendors with full explanation of project and equipment requirements to obtain accurate quotes for budget creation using project documentation such as graphic sheets
  • Use experience and knowledge to research and suggest project solutions such as products, suppliers, technology etc.
  • Use existing company cloud computing technology to manage projects in terms of budget, POs, invoicing, key dates etc.
  • Manage and plan work streams for junior members of the team with regards tasks on your project
  • Plan ahead in terms of managing time zone differences across international teams and clients

Managing

  • In situations of ambiguity manage and mitigate risk by maintaining open channels of communication, ensuring that all stakeholders voice opinions and concerns
  • Manage the costing, tendering and engagement process where suppliers are involved to ensure margins are met, services delivered and suppliers are PO’d on time
  • Present budgets and proposals to clients and agree sign off and payment process and ensure clients are invoiced on time and invoices are paid on time
  • Produce detailed plan for the delivery of the project as appropriate using project documentation such as critical paths and production schedules
  • Manage the H&S process in terms of collating supplier information and contracting H&S specialists if needed
  • Have debriefs with client to understand issues and take forward any learning
  • You may be required to line manage junior members of the project team to include setting tasks and day to day performance and objective management

Delivery

  • Manage all aspects of the final delivery, including on site client and supplier liaison and management
  • Ability to source and manage appropriate venues inc facilities management for live events
  • Proficient in on site management to include timings during build and de-rig
  • Proficient in on site delivery including live event management to include live show management, 3rd party suppliers or performer management
  • Have debriefs with client to understand issues and take forward any learnings

What are the skills required?

  • 5+ year experience
  • Creative head on your shoulders
  • Understanding of creative, design and production technology and ability to recognise and acknowledge suitable products and suppliers
  • Clear communication skills with both clients, wider project team and suppliers
  • Excellent project planning and organising skills with use of standard project documentation and cloud computing
  • A flexible approach with the ability to multi task (run more than one event at once)
  • Proven time management skills and ability to work effectively with those in other time zones
  • Work under pressure and deal with ambiguity
  • The ability to identify and manage risk
  • Quick thinking, intuitive and analytical
  • Detailed – it’s all in the detail – on site execution, budgets, plans, schedules

What technical knowledge do you need?

  • Competent use of Google Apps, Microsoft Office, Apple Keynote, Dropbox and Slack
  • Ability to read and interpret CAD drawings
  • Experience in PROCIM a bonus
