Event Logistics Exec (B2B corporate events agency)
Fantastic permanent events job for a bi-lingual (English/French) Event Executive or PA (or Concierge Specialist) with experience of event logistics including booking venues, hotels, flights etc!
Small but highly regarded and privately-owned agency (with offices around the globe) who specialise in the production of high-spec B2B corporate events & roadshows for an enviable portfolio of high profile global corporate clients.
This "Event Logistics Executive / Roadshow Desker" role (reporting to the Head of Logistics and based in the London office) and will see you working within a team of events professionals on a range of B2B events in the UK and Europe including financial roadshows, investor meetings, conferences, seminars, one2one (Board/Senior Exec level) meetings, networking events, dinners and receptions.
This is a heavily office based position and although you may occasionally go on-site to an event this role will primarily involve being "back at base" in the London office liaising with the on-site teams to support them with last minute event & client changes. This will be a very busy and demanding role where you will need to be able to respond very quickly to clients ever changing needs and requests.
Your role will include:-
- Managing all logistical components of events
- Booking venues, flights, ground transfers & hotels
- Coordinating complex schedules & rooming information
- Researching & booking of AV & production and catering requirements
- Building relationships with clients, hotels, venues & suppliers
- Budget and financial administration
- Liaising with speakers on their presentations & biogs
- Organising special requests (private dinners, special events / trips)
- General administration & reporting
The successful candidate will be a bi-lingual (English/French) events professional or perhaps someone who has been in a PA role organizing meetings and booking flights & hotels or someone who has an international & high-end concierge background.
You'll be someone who is keen to learn and develop your events career and are looking to stay with a company for a few years (there is plenty of scope within this company to move up the ranks and work on different events and travel a little more so it is a brilliant opportunity for the right person!).
You must be a proactive individual with lots of drive and stamina and be someone who loves a very fast paced, incredible attention to detail, hands-on & "muck in" at all levels, team orientated type of environment. It's worth noting that Events & Roadshows involve lots of last minute changes so candidate wishing to apply must be able to cope well with pressure & stress, keep calm and maintain professionalism at all times (especially when liaising with clients).
The most important requirements for this role are that you can speak both English and French fluently, are happy in a more office based position and that you can bring to the table a bit of experience in complex logistics such as venue finding, booking flights & accommodation, handling guest lists, speaker presentations & biogs, assisting on the production of running orders & schedules, event collateral coordination, supplier liaison (AV and catering), administration and post event reconciliation.
