THE ORGANISATION
The events team at this prestigious organisation is responsible for organising a remarkable range of events at this very special historical Grade 1 listed London venue - used for highly prestigious banquets, dinners, lunches, and high profile corporate and charity events and award ceremonies, concerts, and special events.

THE ROLE
You'll be joining a busy team who delivery over 500 events each year - organising a range of special and highly prestigious events from lunches, dinners and prestigious visits, to banquets, awards and special events for corporates and charities … Your main duties will be the co-ordination and detailed organisation of these high profile events, involving liaison with internal teams, and varied contractors and suppliers, management of all event details in the pre-planning and on-site delivery stages.

Key Responsibilities include:
  • To plan and deliver events allocated to you, working as part of a team and individually depending of the size of the event
  • Deal directly with clients, internal and external
  • Attending meetings with internal stakeholders and external organisations to develop event arrangements
  • Prestigious events - researching guests lists, issuing invitations and recording responses
  • Devising table plans and producing ceremonial briefing notes and other correspondence and documentation for each event
  • Placing orders with suppliers, managing provision of their services, and managing costs
  • Develop and manage operational notes, guest lists, table plans, briefing notes
  • Liaise with senior officials within high level organisations (eg Embassies, Royalty, Police, Foreign Office), as well as corporate clients
  • On-site event co-ordination
  • Diary co-ordination


THE CANDIDATE
You'll be a highly organised, smart and articulate events co-ordinator with existing experience within corporate and/or special events, of full end to end event management. You'll be working on some very high profile formal events at this prestigious venue - so you'll love achieving the highest possible quality levels of event execution, with the necessary exacting level of attention to detail. You'll have excellent communication skills to deal with a wide range of people, supported by your very high levels of customer service, maturity and great attention to detail. Strengths as a team player, excellent interpersonal skills and computer literacy are essential, as is excellent experience co-ordinating relevant event suppliers, internal and external. Previous experience working within a hi-end or historic venue would be beneficial.

Key requirements:
  • Excellent communication skills, with excellent standard of English, both written and oral
  • Degree level education highly desirable (1st or IIi)
  • End to end event co-ordination experience - working with corporate and/or prestigious clients
  • Smart professional appearance as this role includes working at formal and very high profile events
  • Varied supplier liaison experience (internal and external) across all aspects of event hospitality, including catering, operations, entertainment, florists etc
  • Experience of managing event budgets
  • Confident, able to cope well and calmly under pressure, tactful and discrete
  • Flexibility to work evening and occasional weekends at your events
