Right now, our business is growing fast and we’ve got big ambitions for the next few years. With this in mind, we're looking for an ambitious and successful Events Administrator.

What you’ll be doing:

You will be the first port of call for all inbound enquiries and communications, the person who ensures clients are being looked after, and the person who keeps our office running like clockwork. You will also coordinate our social and corporate events offering – weddings, parties and any other requests for our products and packages.

Your responsibilities will include:

  • Dealing with or delegating inbound enquiries
  • Managing the full booking process (from initial call/email to fulfilment)
  • Liaising with clients to deliver on their requests
  • Liaising with venues, agencies and event coordinators
  • Setting up and fulfilling jobs through our various systems
  • Liaising with our Design team to develop customised photo strip, backgrounds and any other designed item related to our client booking
  • Co-ordinating, scheduling and briefing photo booth attendants, including providing location details, times and other instructions
  • Provide out of hours support for jobs in progress if required.
  • Office management and clerical tasks as required, including prop sourcing, accounts receivable and facilities management
  • Report weekly and monthly KPIs
  • Where achievable, improving/automating administrative processes for to deliver better efficiencies
  • Managing a team social calendar, including monthly team dinner/outing and awards night
  • Support the Sales Manager, General Manager and Operations Manager in delivery of great customer experiences and team development

You are:

  • Experienced in secretarial work, or customer services and administration, with 2+ years in this kind of role
  • Competent in the use of online/automated financial/project management systems
  • Able to demonstrate some event coordination experience, either in-house or in an events/marketing agency
  • Able to demonstrate some experience with digital and social media accounts, content development or content management
  • Interested in creative industries eg graphic design, photography, art, interior design as well as new technologies
  • An excellent verbal and written communicator, a natural people person and someone who acts quickly and efficiently on all requests and required actions
  • Work well under pressure – be interrupt-driven

A drivers’ license and car would be advantageous but is not essential for the right candidate.  Secretarial experience will be also an advantage.
