Job Details
An exciting opportunity has arisen for a Conference Organiser to join the team of a leading trade association within the medical sector. Working as part of a small team that produces c90 events a year from training courses to large multi-faceted conferences, you will be supporting the Conference Manager across responsibilities including:
Administration including venue selection, AV, catering, speaker liaison, event budget management, delegate registrations
Production of conference documentation, event publication in electronic media and mass mail outs
Assisting the Conference Assistant in database usage, conference documentation, delegate lists, badges, confirmation emails/letters
Ensuring website is properly maintained and updated
Assisting the Head of Conference Unit/Conference Manager as and when required
Administrative and secretarial support to the unit for conferences and the annual general meeting
Conference registrations, updating the delegate information on the conference database
Payment processing and post-event reconciliation income analysis
Preparation of conference documentation
Ordering stationery supplies and diary/travel management for the Head of Conferences and Conference Manager
Telephone liaison, email and general office correspondence
Update the conference website
Attend events as and when required - looking after the registration desk
Good excellent IT/web/database and keyboard skills
You must be able to multi-task and manage your own workload, ensuring that all events are delivered on time and to budget. Good planning and organisational skills are essential and the successful candidate will be responsible for negotiating contracts with venues and suppliers in respect of conferences and events held externally.
The ideal candidate will have organised a variety of events ranging from small seminars, to residential conferences, dinners/ receptions, invited audience events and commercial conferences.
