Job Details
An opportunity has arisen for a Meetings and Events Coordinator to join a venue based at this Charitable Foundation based in East London. This varied role encompasses reactive sales, hospitality and event planning and delivery. Events include meetings, conferences, dinners, weddings, talks and residential retreats. As well as planning events, this role will involve full client liaison, supplier management, liaison with internal departments, diary management, budget management and financial planning of events.
Key areas of Responsibility:
Event Management
Greet customers on arrival, review and confirm event details to ensure effective delivery
Maintain communication with customers throughout their event to ensure effective delivery
Manage and operate public and private events.
Ensure events, rooms and services are set up correctly prior to customer arrival including assisting with set up
Undertake Duty Management cover during weekend and bank holidays
Reactive Sales
Take enquiries effectively, collecting information to ensure the successful conversion of confirmed bookings
Capture and maintain customer data within GDPR regulations
Fully respond to enquiries in a timely manner
Accurately input enquiries and information to Reslynx and Eventbrite
Assess enquiries for optimum occupancy and revenue
Cost events, maximise profit margins (where relevant) and negotiate selling price to ensure conversion of bookings to agreed financial targets
Operate effective site visits in order to ensure the successful conversion of confirmed bookings
Communicate with customers to ensure the successful conversion of confirmed bookings or release of availability
Canvass customers, post event, to confirm satisfaction and optimise future bookings
Effectively communicate information to ensure accurate billing
Manage and maintain, in collaboration with relevant colleagues, accurate and relevant marketing collateral
Hospitality
Monitor service delivery appropriate to the marketplace and community
Regularly review products on offer and provide new ideas and suggestions
Customer Service
Maintain excellent relations with all customers
Monitor customer satisfaction and contribute to the ongoing development of the Foundation with respect to assisting with forward planning and marketing activity
Manage complaints in an appropriate and professional manner in order to achieve customer satisfaction
Engage and communicate with customers to confirm repeat events
Business Management
Remain informed of competitive trends in the marketplace and make recommendations to strengthen the Foundation's position
Contribute to the production of annual budget and targets
Ensure Meetings & Events Team remain aware of performance against budget and feel empowered to take remedial action where required
Maintain effective stock control
Manage consumption within budget
Ensure all financial transactions are completed in line with policy
Fully participate in relevant change management
Due to the nature of the events some evening and weekend work will be required.
