ROLE

This is a permanent Event Executive / Event Coordinator job working for a high-profile London organisation / membership association that operate in a very fast paced corporate environment type of way.

The company has an events department consisting of 7 event professionals who plan and deliver in the region of 120 high quality events per year in London and in most of the major cities across the UK.

In this role you will be working alongside one other Event Executive (both of you reporting in to the Events Manager) and each of you will have your own portfolio of small-medium sized events to manage. In addition you will both have the opportunity to work on the larger scale multi-day conferences and big gala dinners in a support role (i.e. for the larger events the Event Executives look after one element such as delegate registration, venue liaison, speaker management, supplier liaison, accommodation etc...)

It is therefore really important therefore that the two Event Execs can work effectively as part of a team when working on the big events (where everyone has to pitch in) but can also work just as well on their own when managing their own portfolio of events that they are fully responsible for.

The portfolio of events you will manage in this role is in the region of 20-25 events per year and the events (breakfast roundtables, black tie corporate dinners, half-day forums, regional events & networking receptions that are for 20-250pax with individual event budgets of £10K-£30K) are held in high-end, top-class and well known venues in both London and in other UK cities such as Manchester, Bath etc..

This role will include:-
  • Full end-to-end event management of corporate/B2B events held at external venues
  • Event planning & research, venue finding & venue liaison
  • Supplier coordination (AV, F&B, equipment hire etc.)
  • Delegate registration management
  • Coordination of all event collateral (invites, programmes etc.)
  • Manage online filing/admin for each event
  • Updating information on website events pages
  • Budget management
  • Attendee recording & updating CRM
  • Post event reconciliation & analysis /reporting


NB: There will be a fair bit of travel in and around London with some overnight stays within the UK.

CANDIDATE

You'll be a well-presented, professional and articulate Event Coordinator / Events Executive / Events Officer with around 2 years of corporate / B2B events experience who is a collaborative team player but can also work effectively independently as well!

You must have a proven track record of delivering your own events (i.e. have the confidence and knowledgeable to take full ownership & complete end-to-end event management of your own portfolio of small-medium sized events) and you must be able to manage multiple projects at once whilst still maintaining exceptionally high standards.

You'll bring to the table a solid all-round events skill set (full 360 (end-to-end) event management, venue finding, supplier coordination, delegate registration management, on-site event delivery, budget management, updating event webpages, proof reading event marketing copy, admin and post event reconciliation & reporting) and be a fun and outgoing person who enjoys working with a dynamic and lively team in a fast paced corporate environment on a high turnover/volume of very high quality events.
