Job Details

A well established boutique communication agency focusing on private, corporate and political clients, seeks a Marketing and Events Manager to manage their events programme. Working with Directors on all aspects of the marketing strategy and executing marketing initiatives to help build their corporate profile and networks across London, Brussels, Paris, Berlin and further afield. Leading all events management for the company, identifying venues, inviting delegates and liaising with venue staff to ensure the maximum benefit is gained from each occasion.
KEY TASKS:

* Developing event briefs, proposing venues and outline of event, identifying budget and anticipated benefit to ensure that arrangements put in place reflect the stature of the occasion;
* To provide full support to events; prepare and manage the guest list, co-ordinate invitations, prepare research documents on guests for the home team ahead of the event, liaise with venue staff regarding menu and format, liaise with event speaker(s) ahead of event, send reminders & circulate guest list to guests ahead of event;
* To attend events when required to ensure the smooth running of the occasion, provide last minute instructions to venue, greet guests on arrival, respond to guest and speaker requirements;
* To maintain the annual marketing and event budget, ensuring that this is not exceeded and gaining authorisation prior to the event where overspends are likely to occur. To liaise with finance team on an ongoing basis to ensure they are aware of any changes;
* To research, identify and visit venues in UK and international locations, ensuring that a dossier is drawn up following each visit covering contact names, costings, room sizes, suitability, particular aspects which may prove useful etc;
* To maintain an international delegate database (ACT), updating addresses and contact details as required to contribute to the company's contact intelligence and to support contact programme activity;
* To maintain branded marketing materials, ensuring that adequate stocks are maintained and orders for tailored materials are made to ensure timely delivery, liaising with printers or manufacturers as required;
* To maintain and monitor the company brand and ensure all templates are kept up to date;
* To work with the client services team to deliver a 'young professionals' marketing programme.

The successful candidate will be used to building relationships with key stakeholders, high profile individuals, have excellent attention to detail when running events, be strongly self-managing and have high standards of professional and personal integrity. A good understanding of marketing is essential. Regular international travel will be involved.
