We are looking for an accomplished Project Manager with previous experience managing pharmaceutical clients and a great understanding of congresses. We are looking for an individual who can ‘create unforgettable’ experiences for our clients.
What will you be doing
- Lead and manage logistics project teams in significant congress project management
- Participate in, and where necessary, co-ordinate project kick off with client to determine scope of requirements and key deliverables
- Pro-actively manage project communications, including participating / chairing project calls, providing action reports and minutes to ensure project is delivered on time and on budget
- Produce, review, monitor, update and action all project-related documentation
- Develop project timelines in accordance with the above and tracking accordingly with client stakeholders
- Manage priorities in accordance with deadlines & multi-task accordingly, handling several projects at any one time
- Co-ordinate additional client & HCP congress activity including housing, dinners, additional meetings, sponsorship requirements, satellite symposia
- Create and accurately maintain detailed project budgets, monitoring time / fees as well as all third-party costs – alerting client to and managing overspend where necessary
- Closely monitor project financials ensuring that invoicing and financial administration is timely and of a high standard
- Deliver income targets and margins, maximising revenue opportunities whilst providing best value for the client
- Input to all necessary reporting to client on an ongoing basis
- Manage all project related suppliers (hotels, DMCs, AV companies), including selection, negotiation and financial processes
- Liaise with other congress related suppliers, including housing bureau, congress secretariat and other client partner agencies as required
- Oversee and monitor the delegate management process with a willingness to take on the delegate management role for smaller meetings
- Collaborate with other internal departments to deliver project components, exploit synergies and drive operational efficiencies; most notably with the exhibitions team
- Adhere to client specific policies or international guidelines, in relation to all congress activities
What you need to have
- Previous experience of managing healthcare client activity at key international congresses
- Experience of delegate management to provide guidance and support the Delegate Managers on projects you are responsible for
- Strong project management skills ideally developed within a healthcare setting
- Be well versed in regulations of the pharmaceutical sector
- Be client centric and deliver to the highest quality both pre-event and onsite, acting as a TCEG ambassador at all times
- Good numeracy skills, relating to budget management
- Efficient, proactive and well organised
- Highly motivated with a positive can/do attitude
- Calm under pressure
- Excellent attention to detail, literacy and proof reading skills
- Culturally sensitive
- Team player, comfortable in a matrix environment with multiple stakeholders (external and internal)
- Well-developed negotiation skills and the ability to influence others
- Ability to accomplish projects with little supervision
- Willingness to travel (internationally, as well as between Manchester / London offices)
- Registration systems experience (Certain preferred)
- Adaptable to project changes with an ability to offer expert advice to clients
