Due to company growth and expansion, we are looking to recruit for the new role of Venue Sourcing Associate.

The applicant must work well under pressure and have the ability to prioritise responsibilities, meet deadlines and turnaround high volumes of venue requests in peak periods. We are looking for a highly motivated, pro-active individual who is confident in negotiation and possesses excellent communication and time management skills. 

This applicant would be joining a small 2 person team within the Event Operations department so must be a strong team player. Due to many of the venue being contracted in the US, the ability to work off peak hours may be required at times.

You will be responsible for:

  • Support in the venue sourcing of 150+ venues per year in the US, Europe and Asia
  • Work closely with the HoEO and Venue Sourcing Manager to source, negotiate and contract appropriate venues in adherence to deadlines
  • Issuing the RFP to market using the Cvent Supplier Network
  • Reviewing and managing incoming proposals in line with HW contract criteria
  • Presenting venue options to Head of Event Operations and internal customers
  • Negotiating rates and terms and conditions with venue (DDR, F&B mins, room blocks, room hire etc..)  
  • Reviewing contracts – amending where necessary
  • Working with HoEO to acquire financial sign off from the CFO for each venue
  • Developing and growing relationships with key international hotel groups and independent venues across Europe, US and Asia
  • Excellent venue knowledge – maintaining up to date knowledge of key locations and venues by site visits

The ideal candidate will have:

  • Previous experience of sourcing venues
  • Previous experience of using Cvent Supplier Network
  • Industry knowledge and experience
  • Proven negotiation skills
  • Experience working with restricted budgets
  • Outstanding communication skills, confident on the telephone or in face to face meetings
  • Be highly efficient and have an organised approach to your workload - demonstrable ability to manage multiple projects at once
  • Have the ability to work well under pressure and deal with high work volumes
