Senior Conference Producer - CIPD Managed Events

 

 

The Professional Association Team at Haymarket Media Group is renowned for working with high-profile professional associations to produce quality events, featuring the very best content and speakers, that respond to the specific needs of professional audiences. Since September 2017, Haymarket has worked closely with the CIPD - the professional body for HR and people management - to design and deliver their highest-profile UK conferences and exhibitions.  

 

 

We have an opportunity for an experienced Conference Producer, with a least two years of experience, to join the CIPD Events team and oversee a portfolio of membership-driven annual conferences produced in close collaboration with the institute's national and regional offices and stakeholders. You will play a key role in liaising with stakeholders and closely support other producers to ensure positive client relationships and efficient ways of working. All while also directly producing a number of allocated CIPD commercial and non-commercial conferences throughout the year.

 

 

The role will focus on client relationships, speaker acquisition for allocated events, and will closely support other producers working on the same portfolio. The successful candidate will report to and work closely with the Head of Content for CIPD Events, to ensure that a subset of 12 annual national and regional conference programmes is delivered according to planned schedules and to the highest quality standards.

 

 

This role would suit an experienced producer or PCO with experience managing clients and stakeholders, and with a flair for coaching and supporting team members. You will take ownership of your own production schedules and those of other producers to ensure that all the programmes in the portfolio are complete according to agreed timelines.

 

 

Key responsibilities

 

 

Conference Production

 

  • Carry out high-quality desk research, phone and face-to-face interviews with HR and L&D professionals

     

    Identify high-priority topics, leading organisations and potential speakers

     

    Identify target audience segments and potential sponsors for each topic and conference

     

    Develop leading-edge conference agendas that respond to the needs of the audience and sponsors

     

    Source, confirm and brief high-calibre speakers to deliver talks and case studies

     

    Brief speakers and act as their main point of contact before the event

     

    Ensure all allocated programmes are completed and published within the allocated timelines

     

    Assist the marketing team to identify compelling messaging and ensure communications are accurate

     

    Assist the sponsorship team to ensure suitable sponsors are identified and targeted appropriately

     

    Work closely with the event operations team to ensure operational requirements of the events are met

     

    Develop informal networks with practitioners to act as topic advisers and/or future speakers

     

 

Stakeholder Management

 

  • Work closely with stakeholders to ensure programmes align with the client’s content priorities

     

    Arrange and facilitate content kick-off calls and regular update call between conference producers and the clients/stakeholder to ensure positive ways of working and keep stakeholders engaged

     

    Act as the first escalation point for any issues or questions originating from ways of working between stakeholders and producers

     

    Presenting content strategy and programme templates in large client meetings and facilitating stakeholders agreement and buy-in

     

    Responding to stakeholder feedback and request promptly and professionally

     

    Support the Head of Content in developing and maintaining positive client relationships, acting as a deputy in their absence

     


 

Team Support and Facilitation

 

  • Train, mentor and develop junior members of the team - taking responsibility for their performance

     

    Coach and support junior producers and ensure they meet their targets

     

    Support other producers while liaising and working closely with clients and stakeholders

     

 

Attitude, skills and experience

 

 

  • At least two years of experience in a client-facing conference production or PCO role

     

    Experience with stakeholder management and working collaboratively to deliver on the client's vision

     

    Experience in developing, writing and editing content-driven conference agendas

     

    Experience in identifying, inviting, sourcing and briefing high-level conference speakers

     

    The ability to support, coach and develop junior members of the team

     

    Highly developed communication and interpersonal skills to build relationships and informal networks

     

    Highly developed writing, editing and proofreading skills in English

     

    The ability to manage multiple stakeholders, partners, clients and sponsors

     

    The ability to prioritise, work independently and under pressure to meet deadlines

     

    The ability to support and encourage the performance of other team members

     

    The ability to work collaboratively within a team of conference producers on joint projects

     

    The ability to create strong client relationships and support positive ways of working with stakeholders

     

    Established networks within the fields of Leadership, HR and/or L&D will be advantageous

     

    Interest in HR and L&D topics and understanding of the professional development sector

     

    Proactive and enthusiastic, with a professional and can-do attitude
