This is a great entry level opportunity for someone looking to gain or build on their experience in the conference sector. SCI is a membership organisation and registered charity with individual members in over 70 countries. A Conference Administrator (12 month contract with possible extension) is sought to work within a small team who currently organise up to 50 conferences per year (mostly based in their facility in Belgrave Square, London) relating to industry sectors as diverse as food and agriculture, pharmaceuticals, environmental science and safety. The Conference Administrator is a predominantly office based role and will primarily manage the delegate journey for all delegates attending SCI conferences, as well as supporting the conference organisers with the development of successful, high quality conferences.

Delegate Management (30%)

  • Entering delegate details onto website as required
  • Dealing with delegate requests by email/telephone
  • Preparing badges and delegate packs for conferences, general photocopying and filing
  • Using "click dimensions" (training provided)

Website support (30%)

  • Adding events to ensure they can go live onto the SCI website (training provided)
  • Adding logos, images and flyers to populate to the SCI website (training provided)

Support to the conference team (40%)

  • Assisting with all SCI events run by the conference team
  • Organising “call for papers and posters” and managing timescales/deadlines as appropriate
  • Designing flyers and postcards using Indesign software (training provided) and proofreading
  • Attending events, managing onsite registration of delegates

Knowledge, skills and experience required for this position

  • Conference/events graduate or related degree (desirable)
  • Understanding of conference organisation
  • Strong organisational skills and ability to multitask
  • Strong customer service, communication and interpersonal skills
  • High level of computer literacy, in particular with Microsoft Office Suite; preferably databases
  • Ability to act on own initiative
  • High aptitude for spelling and grammar and accuracy in data entry and proof-reading
  • A willingness to work individually and as a member of a team
