Job Details
A well respected Federation with a Head Office in London but offices internationally representing workers all over the world, seek an experienced events and travel professional to support the Head of Travel and Events to ensure effective delivery and on-going development of the global travel and events function.
Whilst managing a team, you will oversee the delivery of a wide portfolio of international events from 200-2500 delegates, actively contributing to the team strategy ensuring standardisation, automation and simplification. You will get heavily involved in co-ordinating the travel function for international events, putting in place a travel strategy for the large scale events, liaising closely with the local office for suppliers.
KEY RESPONSIBILITIES:
* Supports the leadership team in the development of the work plan
* Awareness and understanding of the organisations overall work plans, campaign programmes and corresponding budgets; recognising own role in delivery
* Collaborates with the Head of Travel and Events, exchanges information to ensure a cohesive approach is taken ensuring processes and systems are up to date, implemented, monitored and evaluated
* Contributes to the change agenda and implements agreed changes in line with the strategy
* Responsible for the day to day supervision, guidance, coordination and delivery of travel and event services to ensure that work is delivered to a high standard
* Responsible for the line management of the team members including coaching and development, performance review meetings, leave requests, sickness reporting, and approval of any expenses
* Identifies issues that may affect delivery and deals with and/or escalates in a timely manner
* Organises meetings and events in partnership with identified internal sponsor; including sourcing, negotiating and recommending hotel, venue and event services, within agreed parameters
* Drafts invitations and event correspondence
* Co-ordinates participant attendance to meetings and events including any travel and financial arrangements; liaises with affiliates and outside organisations
* Organises travel arrangements including flights, accommodation, transfers, health and visa requirements
* Prepares and updates meeting and event forecasts against budget; monitors spend; identifies variances and escalates in a timely manner
* Runs all meeting and event related reports; ensures accessibility in an appropriate and timely manner
* Provides on-site support for meetings and events
The ideal candidate will have:
* Experience of booking international travel related services
* Experience of international meetings and/or large scale event organisation
* Experience of negotiating with external suppliers
* Knowledge of fares and ticketing
* Proven experience in managing and leading a team
* Flexibility in working as part of team
