THE COMPANY
This leading London Gallery host a number of high-profile 'out of hours' events per year covering internal private views, fundraising dinners, Director's Reception, Trustees' Dinner and exhibit unveilings through to external venue hire receptions and dinners and the occasional product launch and wedding celebration.
THE ROLE
In this 3 month Event Manager contract role you'll be a key member of the Events team (all of whom report to the Head of Events) and will also be part of the wider Communications and Development Department. As Event Manager you'll be responsible for managing and delivering a programme of internal events (including private views, dinners, unveilings and receptions) as well as overseeing events held at the venue by the Gallery's Supporters, Corporate Partners and Venue Hire clients.
- Your responsibilities for internal events will include securing the date, compiling the guest list, sending invitations, managing RSVPS, obtaining supplier quotations, liaising with internal and external stakeholders, writing detailed schedules/briefing/speech notes, running the event and undertaking post-event follow up as necessary.
- For external events your responsibilities will be to oversee a number of events hosted at the Gallery by the associated supporters, corporate partners and venue hire clients - this will include showing the facilities, advising on logistics and operating the event on the morning/evening.
- The final part of your role will be to manage the internal events diary (securing internal event dates for the coming year with consideration of the Exhibition and Display calendar, Senior Management availability, stakeholder presence and communicating the internal events calendar to relevant staff members and stakeholders.
YOU
You'll need to be available within the next 2 weeks, have excellent event organisation experience and be someone who has worked previously at a heritage / iconic venue or museum.
You'll be a very detailed individual with a real passion for creating and delivering high quality events who understands the hours and type of work involved with planning and delivering events in a public venue and outside of normal museum/gallery opening hours.
You'll also need to be super-organised, incredibly professional and enjoy working with a range of stakeholders, corporate sponsors, clients and suppliers.
