Truly fabulous opportunity for a highly organised Event Co-ordinator to lead on varied prestigious client events - at one of London's most impressive and historical venues.

THE ORGANISATION
Unique and highly prestigious London historic venue - Grade 1 - they have a busy programme of events which enjoy the glorious settings offered by their various rooms/spaces - hosting lunches and dinners, awards events, galas, commemorative, special visits and high profile corporate and charity events. This role is working mainly on the private (commercial) events and therefore liaising closely with prestigious corporate clients and organisations using this beautiful (and multi-space) venue - mainly prestigious corporates, major public bodies and charities.

THE ROLE
You'll be joining a busy and friendly events team who work across over 500 events each year. You'll be, in the main, working on events for their incoming clients - so you'll be working on everything from high profile corporate events and award ceremonies to large charity fundraisers and concerts.Events will all have very high quality levels of delivery, as befits such a beautiful venue. You'll be working on a number of events at any one time, so this role will suit someone who enjoys being busy and working directly for a prestigious client mix. You'll also sometimes be working with others in the team on high level dinners and ceremonial events for the Institution itself. (This is initially a one year contract).

Key Responsibilities include:
  • End to end event management of varied events for clients, both internal and external - including - lunches, dinners, awards, charity fundraisers, corporate events - (no conferences!)
  • To be the first contact for clients, arrange and conduct show rounds for prospective clients and suppliers
  • Provide detailed advice and guidance about the services, spaces and facilities the venue can offer - work closely with clients to plan events/use of space etc
  • Identify and resolve issues that may arise in pre-event phase, work closely with clients to ensure all details of event objectives and timescales are met
  • Liaise with all internal and external suppliers and facilities staff - producing briefing notes and correspondence for events
  • Monitor and manage payments/invoices etc
  • On-site delivery of events


THE CANDIDATE
You'll be a highly organised, smart and articulate events co-ordinator with existing experience within corporate events with a high focus on hospitality and special events (eg dinners, awards, special functions etc). You'll be experienced in liaising with clients, ensuring you fully understand their event requirements, and working to ensure their exemplary delivery both pre-event and on-site. This is a prestigious organisation and you will therefore be working on some very high profile events - so you'll love achieving the highest possible quality levels of event execution, with the necessary exacting level of attention to detail. You'll have excellent communication skills to deal with a wide range of people, supported by your very high levels of customer service, maturity and great attention to detail. Strengths as a team player, excellent interpersonal skills and computer literacy are essential, as is excellent experience co-ordinating relevant event suppliers, internal and external. Also someone flexible, happy to help others on individual event tasks for their events, as well as co-ordinating your own events. Your passion for events shines through.
Key requirements:
  • Event co-ordination experience (min 3 years) within a corporate, association or historical venue, or similar professional environment
  • Excellent communication skills, with excellent standard of English, both written and oral
  • An excellent and efficient organiser/co-ordination, with excellent attention to detail and strong customer focus
  • Varied supplier liaison experience (internal and external) across all aspects of event hospitality, including catering, operations, entertainment, florists etc
  • Experience of undertaking budgetary control and managing financial systems
  • Smart professional appearance as this role includes working at formal and high profile events
  • Confident, able to cope well and calmly under pressure, tactful and discrete
