The central events team of 7 are looking for a new member! Role:
Working in the central events team, you will be one of 3 Event Co-ordinators (there are also 2 Event Managers, and you'll be given your own set of events to co-ordinate . You'll have full responsibility of co-ordinating logistics, branding etc, liaising with external suppliers and venues, keeping an eye of delegate registration,and liaising with internal teams including marketing and operations. In addition, you'll work with wider Events Team during busy times and help onsite with the larger exhibitions.
Key responsibilities and activities.
- Event Co-ordination of range of events - conferences, awards, summits etc
- Coordinate all contractors including audio-visual, signage, photography, printers and designers for the conference. Sourcing venues and negotiating contracts.
- Manage all sponsor relationships and sponsor deliverables Take full responsibility for organising the Conferences including signage, catering, registration, photography, couriers, security, delegate hotel accommodation, and temporary staff. Obtain competitive quotes through tenders and supply comprehensive briefings to selected suppliers.
- Maintain communication with team throughout the event process, ensure planning is on track
- Help marketing provide a brief to the Web Team to develop the required registration system for each event. Test and advise throughout the process. Ensure deadlines are adhered to.
- To assist in registering all delegates, speakers and press. Answer all Conference queries via phone / email.
- To be the main contact for conference speakers, which includes preparing the speakers for conference with a brief, collating speaker presentations and organising speaker accommodation.
- Liaise closely with the Exhibition Operations, Marketing Team, Sales and Editorial where appropriate.
- Budget Management and reporting
- Organise team wash-up meetings after each conference, detailing lessons learnt for future improvements.
You:
You'll already have some good solid event co-ordination experience (min 2 years), and be looking for your next role. You'll have experience of the key elements of events, and ideally have had full end to end project ownership already, including being on-site. Above all the team are looking for someone who is eager to learn, would enjoy being part of their team, and is enjoys being busy!
