Overview 

Working with a range of high-profile technology and telcoms companies, the agency works across a wide variety of different events, ranging from small VIP meetings, UK conferences, European roadshows and international incentives. 

You will join as a key member of a small team focused on delivering high quality production across all aspects of event coordination including registration, travel, comms, creative, video and production. 

The team is looking for a talented and enthusiastic project/event coordinator who is keen to learn on the job and get involved in the wider project. 

Based in Reading, the agency has bases in London and Bristol. Home and flexible working will be considered, with a mix of time in the Reading office as agreed and subject to COVID-19 Government regulations.

The Role 

Working alongside the Directors and wider team, the role will be responsible for being the core link in the pre-production of a project:

Overall responsibilities will include: 

  • Client liaison – being part of the core agency team throughout the project 
  • Creative briefing and research 
  • Talent and entertainment research and booking 
  • All pre-production planning support including crew logistics and scheduling 
  • Technical manager support 
  • Content and creative support 
  • Merchandise 
  • Budget management support including billing 
  • Supplier management 
  • Venue research, booking and management 

The ideal candidate will have proven experience within a production agency or event-based company. You will need the skills and detail required to make a show-stopping event come to life. Technical knowledge is not required, but a basic understanding or enthusiasm for this side of the role would be welcomed, as well as insight and interest into the core creative process. 

You will need to be able to work across multiple projects from brief to delivery onsite, maintaining your focus, attention to detail and excellent communications skills to keep key stakeholders fully up to date at all times. Organisation is a key talent for this role as is being able to ‘think smart’ to maximise efficiency.
